Her Trails is committed to protecting your privacy and managing your personal information responsibly. This policy explains what information we collect, why we collect it, how it is used and shared, and the choices available to you.
This policy applies when you interact with Her Trails through our websites, member accounts, mobile applications, communities, memberships, training programs, coaching services, digital tools, forms, assessments, events, retreats, family initiatives, partnerships, email communications and other services.
In this policy, โHer Trailsโ, โweโ, โusโ and โourโ refer to the organisation operating the Her Trails platform and services.

The information we collect
The information we collect depends on how you interact with Her Trails and which services you choose to use. It may include:
- Identity and contact information: your name, email address, phone number, location, date of birth or age range and emergency contact details.
- Account information: login details, membership status, communication preferences, account settings and information connected with your Her Trails profile.
- Purchase and transaction information: products or services purchased, payment status, invoices, refunds and transaction history. Payment card details are generally processed by secure third-party payment providers rather than stored directly by Her Trails.
- Training and participation information: running experience, goals, race plans, preferred distances, training availability, program progress, activity information, feedback and participation in coaching or community activities.
- Health and sensitive information: information you choose to provide about injuries, medical conditions, pregnancy or postpartum status, menstrual health, menopause, nutrition, allergies, disability, gastrointestinal symptoms, medications, physical capacity or other health-related matters.
- Community information: posts, comments, questions, direct messages, profile content, photos, videos and other information you share through Her Trails Communities or group activities.
- Event and retreat information: dietary requirements, accommodation needs, travel information, emergency contacts, waivers, participation records and information reasonably required for safety and event delivery.
- Enquiry and communication information: messages, support requests, survey responses, reviews, testimonials and correspondence with our team.
- Technical and usage information: IP address, browser type, device information, approximate location, login activity, page views, links selected, application use, referral source and interactions with our website or communications.
- Photos and recordings: photographs, video or audio captured during events, retreats, group activities, online sessions or community participation, where appropriate notice or consent has been provided.

How we collect information
We may collect information:
- directly from you when you create an account, purchase a service, complete a form, join a program, contact us or participate in the Her Trails community;
- through your participation in training, coaching, events, retreats, assessments or community activities;
- automatically through cookies, analytics tools, application technology and similar technologies;
- from a parent, guardian, emergency contact, authorised representative or another person acting with your permission;
- from event providers, coaches, contractors, referral partners or connected services where you have authorised the sharing; and
- from publicly available sources where collection is lawful and reasonably necessary for our activities.

We collect, hold and use information where it is reasonably necessary to operate Her Trails and provide our services. This may include using information to:
- create and administer your Her Trails account;
- provide memberships, programs, coaching, community access, events, retreats and digital resources;
- personalise training content, recommendations, communications and member support;
- understand your goals, experience, availability and support needs;
- process purchases, instalments, refunds and other transactions;
- communicate service information, program updates, reminders and important account notices;
- respond to enquiries and provide customer support;
- manage safety, emergency planning, suitability and reasonable adjustments for activities;
- moderate and protect Her Trails Communities;
- analyse and improve our programs, platform, member experience and operations;
- prevent fraud, misuse, security incidents and unlawful activity;
- send marketing communications where permitted and in accordance with your preferences; and
- comply with legal, regulatory, insurance, accounting and record-keeping obligations.
Health and sensitive information
Additional care for sensitive information
Health information is treated as sensitive information. We only collect health or other sensitive information where it is reasonably necessary for a Her Trails service and where you have provided consent, or where collection is otherwise permitted by law.
We may use this information to personalise your experience, provide appropriate general guidance, identify when professional support may be appropriate, make reasonable adjustments, manage safety or help deliver an event, retreat, coaching service or training program.
Unless information is required for safety or service delivery, health questions may be optional. You may choose not to answer, although this may limit our ability to personalise a recommendation or safely provide a particular service.
Her Trails does not use health information for unrelated direct marketing unless you have provided specific consent. Our tools, programs and coaching resources provide general education and guidance and do not replace individual medical diagnosis or treatment.

Personalisation and automated tools
Some Her Trails tools may use predetermined rules, calculations, algorithms or artificial intelligence-assisted processes to provide personalised content or recommendations. Examples may include:
- program, race-distance or training suggestions;
- pace, timing or performance estimates;
- educational guidance based on questionnaire answers;
- personalised onboarding or member communications; and
- content recommendations based on goals, experience or program activity.

Marketing communications
We may send information about Her Trails programs, events, memberships, services and resources where you have consented or would reasonably expect to receive it.
You can unsubscribe from marketing emails at any time by using the unsubscribe link in the message or contacting us. Unsubscribing from marketing does not prevent us from sending essential account, transaction, safety or service communications.

We do not sell or rent personal information.
We may disclose information where reasonably necessary to:
- website, membership-platform, application and hosting providers;
- payment processors, banks and accounting providers;
- email, customer relationship management and communication providers;
- database, form, automation, analytics and technology providers;
- coaches, facilitators, experts, community leaders and authorised contractors;
- event, retreat, accommodation, transport and activity providers;
- professional advisers, insurers, auditors and legal representatives;

- another organisation in connection with a proposed or completed business restructure, transfer or sale, subject to appropriate confidentiality and privacy protections.
We seek to limit disclosures to the information reasonably required for the recipient to perform the relevant service.

Community information
Information you post in a Her Trails community, group discussion or shared member space may be visible to other members of that space. Please avoid posting information you do not want other members to see. We may moderate, restrict or remove content where reasonably necessary to protect members, enforce community standards or comply with legal obligations.

Overseas service providers
Some service providers used by Her Trails store or process information outside Australia. Overseas recipients are likely to be located in the United States and may also be located in other countries in which our technology, payment, communication or service providers operate.
Where personal information is disclosed overseas, we take reasonable steps appropriate to the circumstances to ensure it is handled consistently with applicable Australian privacy requirements.

Most Her Trails accounts and training services are intended for adults. Some family events or initiatives may involve children or young people.

A child should not independently provide health, contact or account information unless the relevant service permits it and appropriate consent has been obtained.
